AI Usage Guidelines
Guidelines for how GolfBack team members should use AI tools responsibly, effectively, and consistently with GolfBack's brand standards and data practices.
When to use this resource
Read this before using any AI tool for GolfBack work — writing, research, client communication, or internal content. New team members should read this during onboarding.
Approved AI tools
- ChatGPT Business (team workspace) — primary tool for writing, research, and content
- Custom GPTs in the team workspace — role-specific tools built for GolfBack tasks
- Claude (Anthropic) — cleared for internal use where appropriate
- Grammarly Business — cleared for writing review and editing
Data and privacy rules
- No client names, contact info, or account data in public AI tools
- No internal financial data, pricing strategies, or unreleased product details
- No HubSpot exports or CRM data in any AI tool outside the approved workspace
- When in doubt, ask before pasting
Brand consistency
AI-generated content for external use — client emails, website copy, sales materials — must be reviewed against the GolfBack Brand and Strategy Guide before use. The AI does not automatically know the GolfBack voice. Use the brand context loaded in the ChatGPT Business workspace, and always read output critically.
Client data policy
Sharing client data with an unapproved AI tool is a policy violation. If you're unsure whether a tool is approved, ask before using it.
